What Is Multi-Party Electronic Signing?
Multi-party signing allows a contract to be routed to 2–10 designated signers, each of whom reviews and signs the document electronically. The initiator sets the signing order, and the system sends each party a notification when it's their turn. Once all parties have signed, the fully executed contract is distributed to everyone automatically.
This workflow replaces the traditional process of printing multiple originals, meeting in person or couriering documents, and manually tracking who has signed.
Common Use Cases
| Contract Type | Typical Signers | Signing Pattern |
|---|---|---|
| Rental agreement | Landlord + tenant (+ guarantor) | Sequential |
| Education / training agreement | Institution + student + guardian | Sequential |
| Driver recruitment contract | Company + driver | Sequential |
| Service agreement | Service provider + client | Sequential |
| Partnership agreement | 2–10 partners | Sequential or parallel |
| Non-disclosure agreement | Employer + employee | Sequential |
Step-by-Step: How to Initiate Multi-Party Signing
- Create or upload the contract — Use a template, generate with AI, or upload your own document.
- Add signers — Enter each signer's phone number and name. Assign their role (e.g., Party A, Party B, Witness).
- Set the signing order — Choose sequential (Party A signs first, then Party B) or parallel (all receive simultaneously).
- Define signing fields — Mark where each party needs to sign, initial, date, or enter specific information.
- Send for signing — Each party receives a WeChat notification or link. They open it, review the contract, and sign with a tap.
- Track progress — The dashboard shows who has signed and who is pending in real time.
- Distribute the completed contract — Once all parties sign, the system automatically sends the fully executed PDF to everyone.
What Happens When a Signer Declines?
If a signer declines to sign (or requests changes), the initiator is notified immediately. The signing process is paused, and the initiator can:
- Communicate with the declining party to resolve their concerns
- Edit the contract and reissue it for re-signing by all parties
- Cancel the signing process entirely
All actions are logged for audit purposes.
Signing Reminders and Expiry
The system automatically sends reminder notifications to signers who have not yet signed after a set number of days. You can also configure an expiry date, after which the contract link is invalidated and the process must be restarted if still needed.
Legal Validity of Each Signer's Signature
Each signer's action is verified via mobile phone number at the time of signing. The platform records the signer's phone number, IP address, device information, and timestamp. These records constitute a complete, tamper-evident audit trail that satisfies the requirements of China's Electronic Signature Law.
Best Practices
- Always include the contract effective date and the full legal names of all parties in the document itself
- For contracts where one party has significantly more bargaining power, consider having a witness
- Send a draft to all parties for review before initiating the official signing process
- Archive the fully signed contract and its signing record together in the same folder
